By accepting the quote, you agree to these terms:

Payments

We take a deposit of 20% which is necessary to book a date for the execution of the works. Any money paid upfront will then be taken off the final invoice which is due 7 days after the completion. The preferred payment option is bank transfer, but We accept credit cards, debit cards and cheques. If we do not receive the deposit payment 7 days after issuing the deposit invoice, we reserve the right to cancel your booking. JB Lumber Jack Wood Flooring reserves the right to first advise and then charge all additional extra time and materials required for circumstances found beyond our control or previous knowledge. Value Added Tax will be added to all invoices at the current tax rates.

Deposit and cancellation

We take deposits to secure your booking in the diary and to enable us to secure materials ahead of time for your job. If you need to reschedule or cancel your booking within 7 days of your scheduled appointment, we reserve the right to retain up to 20% of the job total to help cover our overheads and loss of business for that time. It’s in our interest to reschedule another client as soon as possible and we can usually do this if we can, then you will receive a full refund.

Paint

We will take time to carefully edge and detail right up to the edges of your flooring, it is likely that there will be a few scuffs and chips. For this reason, We are putting masking tape on Your skirting board/wall to secure them and sometimes in time of taking this tape off it may take some of the paint off as well. You are responsible for touching this up with new paint.

Dust

We use modern dust extraction and containment systems, which significantly reduce the risk of dust escaping during the sanding process and going around your home or office. The systems work by sealing against the floor so if your flooring is uneven, this may cause a small amount of leakage. Edging and detailing may cause a small amount of dust which is mostly contained and extracted at the point of sanding but there can be leakage of between 5-10%, this is not enough to make furnishings and/or decor dirty or damaged.

Sealing & Maintenance

The Company provides two coats of lacquer or two coats of oil/hard wax (depending on the Client’s choice) as standard. Additional coats are available at extra cost. Whilst the Company will exercise reasonable skill and care, hand-applied seals may not show complete uniformity. Recoating at the Client’s request will be chargeable as an extra. Seal longevity is dependent on traffic conditions/usage and upon the standard of maintenance implemented by the Client. All floor seals are designed for “wear resistance” and not “impact”. The impact resistance depends on the density of the wooden floor itself. We recommend maintaining the floor with professional maintenance products only such as Bona or Osmo. Lacquers are generally touch dry in 4-6 hours, oils – in 12-16 hours (the duration of drying time may vary depending on the manufacturer and the weather conditions). It is the Client’s responsibility to make arrangements as necessary so as to avoid contact or other interference with seals during curing time. Lacquers require 3 days of curing time and should be protected whilst curing and in particular not exposed to heavy foot traffic or being covered by anything like plastic sheets, rugs or any floor covers. Floors should not be covered or furniture replaced until the curing process is complete. The Company cannot be held liable for marking floors after the job is complete. It is not the responsibility of the Company to protect floors after the completion of work on site. The Company reserves the right at its reasonable discretion to change the job specification on site as may be reasonably necessary in order to provide the most appropriate or suitable finish for the floor.

Drying time

Lacquers are generally touch-dry in 4-6 hours, oils in 12-16 hours (the duration of drying time may vary depending on the manufacturer). Drying time can take longer to dry than what is written on the containers; this is because of prevailing microclimatic conditions within the house that is being fitted and therefore we cannot be held responsible for the natural process taking longer and causing disruption. It is the Client’s responsibility to make arrangements as necessary so as to avoid contact or other interference with seals during curing time. Lacquers require 3 days of curing time and should be protected whilst curing and in particular not exposed to heavy foot traffic or being covered by anything like plastic sheets, rugs or any floor covers. Floors should not be covered or furniture replaced until the curing process is complete When finishing floors with hand-applied hard wax oils, it must be understood that oils can take longer to dry than what is written on the containers; this is because of prevailing microclimatic conditions within the house that is being fitted; and therefore we cannot be held responsible for the natural process taking longer and causing disruption

Sub-Bases

As most quotes are conducted with the old floor covering still in place, it is impossible to gauge the flatness or levelness of the sub-base and accordingly, it is assumed that it is flat enough to fit another floor upon it. Any matters arising about up and down movement of floors, squeaking boards etc (e.g.: floated floors) and unevenness of joists or sub-base, will not be our responsibility and any further action required will attract further costs. Any adjacent walls that may be suffering from rising dampness or other damp issues and over which we have no control will not be our responsibility either. Sub-base floors and skirtings will be moisture tested where possible to advise clients accordingly of any action that might be needed. In most cases, sub-bases are not perfectly flat or level, and whilst ‘boarding out’ is an option, it sometimes leads to height issues. Therefore, floors not boarded will have their new floor boards fitted to the existing sub-base unless stated otherwise in our quotes. Where possible we attempt to minimize up and down movement and squeaking boards but cannot be held responsible for boards that suffer these actions.

Filling/fillers and your flooring

These may fall out or become loose due to the wood or stone floor expanding and contracting/sub-floor movement, this can happen days or years after the work has been completed. We cannot be held accountable for this and it’s not covered under warranty. Moisture changes can cause the wood to absorb more moisture which can lead to the wood expanding and buckling which is out of our control we cannot be held responsible. An exact colour match is not guaranteed.

Replacement floorboards

We hold a large number of reclaimed timber boards, if you require replacement boards, this can be done at an additional cost. We can’t guarantee an exact match to your existing flooring. 

V Grooves and textured boards

Due to the nature of the sanding process, the boards will be sanded down flat so any machined texture or V grooves will be lost or reduced. The V grooves may still remain if the grooves sit lower than the sandable part of the floor which could mean there is a minor amount of finish left which we cannot get to in the gaps.

Floor Quality

Wherever reasonably possible, we’ll try to check the thickness of the sandable wear layer on the wood before we start sanding to minimise the risk of sanding into the plywood or tongue and groove or through the floor. We will not be held responsible if we sand through the wear layer thus requiring replacement.

Snagging

We’ll always complete work to the best of our ability and spend any time needed to get the best outcome. Although rare, from time to time, especially on larger projects, an item may be missed or not completed. You must inspect and let us know within 24 hours of the work being completed if there are any issues. We will always respond promptly and return to make good of any issues or snags. We need a final list before our visit to ensure we can sort everything all at once. We cannot accept any snags being added at the end of visits, this must be brought to our attention before the visit. We are happy that a reasonable percentage of the final payment will be withheld until issues are sorted and you are satisfied.

Furniture

All furniture must be cleared from the room we are working in before our arrival unless explicitly agreed beforehand. We treat your home as if it were our own but cannot be held responsible for any damages that may occur while handling your possessions.

Existing carpet/floor coverings, Gripper rods, floor/carpet staples, and hardboard

This must be removed by you before we arrive to carry out the work at your property unless agreed beforehand in writing on the quotation. This is so you can see the condition of the floor before contracting us for the work. We highly recommend removing floor coverings at least a week before our visit to make sure everything is as expected.

Skirtings

When skirting has been fitted by us, gaps along the top that might appear cannot be deemed as our responsibility to try and rectify with filler etc. if the walls are not level perpendicular or horizontally. This should be left to a decorator to rectify. Where possible, we shall fill gaps to the best of our ability if they are slim and regular in length and shape.

Warranty

JB Lumber Jack Wood Flooring offer a guarantee on their workmanship for 10 years, subject to the clauses below. Should you have any problems please contact us and we will be happy to assist. Our high-quality floors are also guaranteed, by our suppliers for various periods of up to 30 years depending on the floor you have chosen. Our guarantees will become void if final payments are not received within one month of completion.

Part of the underwriting criteria for us providing the warranty is that the moisture and temperature conditions of the wood are within specified parameters defined by the producer and if your floor falls outside these, we won’t be able to offer the warranty. The warranty has no cash value and is non-transferable.

Furthermore, movement of skirting after fitting can occur if there are damp issues within the walls, and therefore we cannot be held responsible for this.

Sample Patch

This helps us manage your expectations so we can estimate material and product usage for the job. Wood is a natural product that will have variations and/or imperfections that may not show on a sample patch therefore we cannot guarantee that the test patch will be a replication of the whole floor on completion of the work. Once you or someone on your behalf acting in good faith accepts the sample, we may charge if this needs to be changed, to cover our time obtaining materials, returning unused products, or having to arrange additional visits.

Photos

Any photo we provide is in good faith to help guide you with your purchase and should not be used as the sole basis of your decision to purchase. We may take before, during, and after photos of your floor and hold these on your file for our records. You accept that we are able to use the photos from your job for marketing and showcasing our services to other clients.

Time for completion of work

Any time or date provided for the completion of the work shall be an estimate only and the only obligation of the Company is to use its reasonable endeavours to complete the work within any estimated time or date of completion. The Company shall not have any responsibility if the work is delayed and/or completed late due to any circumstances beyond the Company’s reasonable control, such as (but not limited to) inclement weather, staff sickness, default on the part of any subcontractor, transport disruption, non-delivery and/or non-availability and/or disruption of supply of material or other required items, the breakdown of any plant or equipment, or power cuts or the failure of the power or water supply at the Premises. The Company shall also have no liability to pay compensation in the event of any workers arriving late at the Premises. The Company will instruct the workers to arrive on time but sometimes due to transport-related and other problems which are beyond the Company`s control, the workers may arrive with a delay. The duration of the works estimated in the quotation is based on the assumption that a two-man team will be assigned – the time might vary/shorten significantly depending on the number of team members available to start any project. Any estimated duration is to be taken as a rough guide.

Insurance

We hold police for public liability insurance.

Waste

All waste generated as a result of our work, i.e. sawdust, sandpaper, product bottles, etc. will be removed and disposed of for an additional fee.
